Tools for ‘Het goede gesprek’

Preparing and documenting performance reviews can be a challenge for employers and employees within organisations. How do you keep an overview, how do you structure the information, and how do you involve employees in the right way? How do you ensure that each review is valuable and effective?

Yaacomm offers practical tools to support organisations in preparing, conducting, and documenting these reviews. Our tools assist in asking for and giving feedback, structuring meeting agendas, and making agreements.

(Annual) reviews: an important tool

Performance reviews are important for both the employer and the employee. They provide an opportunity to reflect on the past year, give feedback, and set goals for the future. Annual review, ‘Het goede gesprek’, development conversation, or Personal Development Plan (PDP) conversation: various formats are used within organisations. Sometimes there is a system to support these reviews, but increasingly a free format is the standard to encourage dialogue throughout the year.

Without proper preparation, these reviews can remain superficial or even become a negative experience, while annual reviews are actually very valuable.

Annual reviews offer organisations the opportunity to:

  1. Evaluate performance: How did the employee perform?
  2. Give and receive feedback: What could be better, and what went well?
  3. Discuss future plans: What are the goals for the coming year?
  4. Strengthen the bond with employees: A good conversation contributes to engagement and motivation.

Example of review support in practice

One of our successful examples is the app “Het goede gesprek,” developed for the Provinces. This app actively involves employees in their development trajectory and offers a structured approach to reviews.

Through the tool, employees can invite each other for a review and set a review date. They can then jointly determine the agenda by selecting suggested topics and/or contributing their own topics. Employees can make notes on these topics so they can enter the review well-prepared.

Through the feedback tool, you can request feedback/feedforward from colleagues, supervisors, or third parties. This can be done by selecting suggested questions or by drafting your own questions. The feedback providers can answer these questions in a secure environment. The feedback requester can follow the status of the feedback requests in the tool. The collected feedback can serve as valuable input for the topics of the review.

The documentation of the review can also be done jointly. Text proposals can be adjusted and finalised in consultation through the tool. All information from the reviews is always neatly compiled.

Besides an app, a web version has also been developed for employees who prefer to work on a larger screen. Whether employees work via their smartphone or the site, data is stored cross-platform, so they always have the current state of affairs regarding the reviews at hand.

Use of handy technology for your organisation

By using technology, you can ensure a consistent and professional process as an organisation. This way, conducting performance reviews becomes a powerful tool for growth and development within your organisation.

Conversation tools help organisations in the process of conducting reviews and documenting agreements and feedback. This ensures that everything is properly followed up and no valuable information is lost. With good preparation and the right tools, conducting performance reviews becomes a streamlined process!
